An ambitious event and conference business, organising festival style conferences in London and New York. You will be joining a small team where you can have a big impact within an informal and collaborative working environment. Our events encourage innovation and collaboration in the industry and are focussed around networking and sharing ideas. 

What will I be doing?

In your role as the Event Manager, you will be in a senior position within a small company, reporting directly to the Founder. You will be responsible for the day to day management of the company events including event operations, logistics, supplier management and event production.

Ideally you will have experience within all areas of event management and executing key elements of events from start to finish.

Event Management:

  • Creating new innovative experiences at our events
  • Creating (or assisting to create) detailed floor plans for large venues (up to 60,000sq.ft)
  • Managing various different suppliers 
  • Working to reduce our environmental waste including being a single-use-plastic free event 
  • Liaising with sponsors/partners about their stand requirements/logistics
  • Site visits with key suppliers and also sponsors when required
  • Managing the on-site deliveries at our events
  • Leading on-site manager for the setup and breakdown of the events
  • Ensuring briefing docs are up to date and relevant for each event
  • Creating detailed signage plans in the venue and liaising with printers
  • Creating post-event debrief reports, sharing key learnings and areas to improve
  • Providing support to the conference producer with producing schedules 
  • Responsible for researching and sourcing venues, suppliers, event technology providers, entertainment etc.

Budgeting:

  • Maintain accurate and up-to-date budgets
  • Negotiating prices with suppliers

Logistics:

  • Creating run-sheets and briefing crew
  • Managing vehicle schedules
  • Supporting event H&S officer

Marketing:

  • Adhoc updates to the website with event-related content
  • Working with the Conference Producer to promote the event/develop event communications

What will I need?

You will have experience in large scale event delivery, ideally with hiring venues on a dry-hire basis. A great multitasker that is able to manage multiple suppliers alongside other responsibilities. You will be highly organised, efficient and have good attention to detail. You can act quickly to solve problems on the spot and also identify and foresee potential problems that could arise.

Essential skills and characteristics

  • 3+ years of event experience. Ideally including organising conferences for over 500 attendees
  • Must possess excellent written and verbal communication skills
  • Ability to work under pressure and towards deadlines and financial targets
  • Excellent people skills 

Desired skills

  • Experience organising events on a dry-hire basis useful
  • Use of Sketchup useful
  • Experience using WordPress useful
  • Experience organising international events useful
  • Use of Adobe Photoshop and InDesign is a bonus
